How to set up "Leaderboard" on Airmeet to Maximize Attendee Engagement?

  • The event organizer can't change activity points once the event is marked as started.

  • The activities are different for the webinar format and the virtual events format on the points table.

1. Overview


Track, Reward, and Gamify your event participation with the attendee leaderboard. The leaderboard automatically curates a list of your top attendees based on a points system which you can decide before the event. 


That’s not all! You get plenty of options to objectively define your leaderboard criteria and add rewards & prizes for your top attendees at a click of a button.


2. Setting up Leaderboard


2.1. Enable Leaderboard

To enable the Leaderboard for your event, kindly follow the below steps.


Step 1
: From the events dashboard, click on the Event Spaces tab, > Event Spaces settings from the left panel, > select Leaderboard.

Step 2Toggle the button towards the right to enable the Leaderboard for your event.





2.2. Allocate points based on multiple activities


As an event organizer, you can choose from multiple activities that attendees can perform to win more points.

To select the activities & points that can be allocated, kindly follow the below steps.


Step 1: Click on the “Edit” button to start managing the activities & points allocation.


Step 2
Select the activities that you want the attendees to perform.
Although all the activities are selected by default, you can de-select the activities according to your preference.




Step 3: Allocate points for a particular activity after completing the task.
Note: The maximum number of points that can be allocated for a particular activity can be up to 100.

Step 4: Click “Save” after finalizing the activities & points for task completion.



Disclaimer: The allocated points cannot be changed once the event has started. 

All the points allocation needs to be done ONLY in preview mode.



2.3. Restrict Attendees


Restrict attendees registered with a certain domain name from participating in the leaderboard.


Step 1: Click on the "Edit" button beside the "Restrict Attendees" section under the leaderboard.




Step 2: Enter the domain name and click on "Save changes."





Participants entering from the mentioned domain will not be able to take part in leaderboard activities, and the points will not be displayed to all participants.








2.4. Rename the "Points" word on the leaderboard


As an event organizer, you can now rename the "points" to anything that suits your leaderboard


Step 1: Click on "Event Spaces" and go to "Event Spaces settings"


Step 2: Under "Leaderboard", click on "Edit" under "Point allocation"


Step 3: On top, you will get an option to rename according to your preference.


Step 4: Click “Save” once done







2.5. Manage Winners & Prizes


Choose the number of winners you would like to have for this event and add prizes for all the winners. Attendees with the highest points will be declared the winners. 


The event organizer can display the winners by choosing from 2 types of layouts.



2.5.1. Add winners & prizes using the default template.

The default template allows event managers to rename the prize name, add a prize, & add a sponsor, which will be shown during the prize announcement.

Add winners
Add the maximum number of winners, which will be shown to everyone on the live event once the Leaderboard is marked as ended by the event organizers.

To add a winner, kindly click on the “
+Add Winner” button.
Minimum of 3 winners and a maximum of 50 winners are allowed for a particular event.





Edit Prize
Rename the prize name and add a prize description for attendees to look at the prizes if they win the competition.

To edit the prize, click on the 
edit button (pencil icon)

a) Enter a name for the prize
b) Add a prize (e.g., $25 gift voucher)
c) Add sponsor: Select up to 2 event sponsor logos for the prize. This will be shown during the prize announcement. Add sponsors from the sponsor tab in the events dashboard.




Click “
Save” once the winners & prize details are added.



2.5.2 Add winners & prizes using a custom banner.


Add a custom banner image mentioning the prizes, which will be shown to attendees.

  • Image size : 745 x 419 px

  • Format: JPEG or PNG

  • File size : >10MB


After uploading the desired banner, enter the number of winners shown after the Leaderboard ends.






3. Leaderboard Panel Controls: In Event


The Event organizer can view the live Leaderboard with the list of top winners and their points earned till now and can also look at all the selected activities opted by them with their respective points.


The Event organizer can perform specific actions from the leaderboard panel on live events, like previewing prizes, sharing rankings on the event feed, & ending the Leaderboard from the panel itself.

3.1. Preview prizes

After setting up the prizes from the event’s dashboard, you can preview (before events start) or view (during the event) the prizes that the winner can win once the competition is over.

To preview or view the prizes, Click on the 
leaderboard icon located at the top right of the event. And click on the “View prizes” button.



3.2. Share ranking on event’s chat feed

During the live event, the event organizer can share the current scores with their name on the event’s feed for other attendees to have a look.




Note: Attendees will be able to see the top 3 ranks on the feed.



3.3. Reset Competition from Leaderboard Panel



The event organizer can reset the Leaderboard, and announce the winner from the leaderboard panel itself for that particular day or duration of the event, and can start with a new leaderboard competition.


To end the competition, follow the below steps.
Step 1: Click on the Leaderboard Icon.
Step 2: Click on the “Reset Leaderboard” button.



Note: Resetting the leaderboard will stop the current point allocation and start a new leaderboard.



Leaderboard History


After resetting the leaderboard as an event organizer you can view the history of the older leaderboard and the winners for the same.



3.4. End Competition from Leaderboard Panel

The event organizer can end the Leaderboard and announce the winner from the leaderboard panel itself.

Once the event is about to end or at a specific time according to your preference, you can end the competition.

To end the competition, follow the below steps.
Step 1: Click on the Leaderboard Icon.
Step 2: Click on the “End Leaderboard” button.




Disclaimer:

Once you end the leaderboard, attendees will stop earning points and will be able to see the winners. You can start a new leaderboard again at any time.


3.5. Announce winners

After ending or resetting the Leaderboard, the event organizer can announce the winners to all the participants on the center screen.

To announce winners, follow the below steps.


Step 1: Click on the Leaderboard Icon.
Step 2: Click on the 'End' or 'Reset'  button.

Step 3: Checkmark the 'Announce winners' box and click on 'Yes'.



A list of winners will be shown to all the participants on the center screen, post that participants can view winners from the Leaderboard panel itself.


4. Analytics report

Get an analytics data post the leaderboard is ended by visiting the analytics section and sending the event level report.


Events dashboard > Analytics section > Summary > "send event report"


Data points that are sent on the report are

  • Rank
  • Name
  • Final points
  • Email id (Not applicable in case of event entry is set to 'Anyone can enter without sign in')



5. Points to keep in mind


  • Event managers can’t take part in the competition.

  • Once the event is started, you cannot edit the allocated points for the activities and the leaderboard will be enabled with the default configuration.

  • Once the Leaderboard is ended or disabled, it cannot be enabled/restarted again respectively.

  • Maximum points that can be allocated for a particular activity can be up to 100.
